Exhibitor FAQs

The booth space reservation process for AOTA INSPIRE 2026 is now open. Click here to go to the exhibitor login page and get started. You can view the floorplan from the top menu and pick a booth. You can then purchase your booth by logging into your account (if you are a new exhibitor, please create a new account through our exhibitor login page). To reserve your booth, or if you have any questions, please contact sales@aota.org. Please fill out your company information including address, contact, and email information, so we can keep you updated as we get closer to the conference. You will sign an online contract, and you can pay via credit card, ACH, or check. If paying by ACH or check, payment must be received within 30 days of application submission for your booth space application to be processed. Applications & deposits must be received by April 1, 2026.

AOTA show management reserves the right to alter locations of booths and tables as shown on the official floor plan.

Booth space is $28.87 per square foot. Payment is due upon submission of your application/contract.

Cost of exhibit space does not include the following: rigging or machinery moving, unpacking, installation and dismantle of booth properties, utilities (i.e., electrical, water, gas, compressed air, telephone) booth decoration, furniture, table or carpet. Exhibitors may order these services through our official show contractor, T3 Expo, through the online Exhibitor Services Kit.

In the event the Exhibitor cancels all or part of the exhibit space contract, the Exhibitor must do so in writing to sales@aota.org, and will be obligated to pay liquidated damages based on the following schedule:

  • Prior to or on June 30, 2025: 0% liability
  • July 1 through November 30, 2025: 50% liability
  • On or after December 1, 2025: 100% liability

All services and benefits included with exhibit space shall be forfeited with the cancellation of space.

Reduction in space will result in an equal reduction of included services and benefits.

Please review Section 8 of the contract, which states: No exhibitor shall assign, sublet, share, or apportion the whole or any part of the space allotted to him or her without the knowledge and prior written consent of the AOTA show management.

You must have at least 400 square feet of space in an island or peninsula configuration to have a hanging sign. Hanging signs are permitted to be hung at 20 feet, from the floor to the top of the sign. You must complete the Hanging Sign Request Form and submit that along with a layout and specs on the sign by April 1, 2026. This form will be available in the online Exhibitor Services Kit.

Please contact AOTA for permission to bring a vehicle to the show floor by January 16, 2026. The Display Vehicle Reporting Form will be available in the online Exhibitor Services Kit. Vehicle move-in and move-out will be coordinated by the show’s official service contractor, T3.

Work rules vary from one city to another. In Anaheim, exhibitors may unload their own personal vehicles provided they do not use any material handling equipment (fork lifts, flatbeds, dollies, pallet jacks, etc.) through the main entrances doors to the Exhibit Hall.  T3 will control access to the loading docks in order to provide a safe and orderly move in and move out.

As an exhibitor, you may choose to utilize your own personnel to set up and dismantle your exhibit. If full-time company personnel are utilized to set up an exhibit, they should carry positive company identification or payroll stub.

The Exhibitor Services Kit has all the necessary forms for planning your exhibit. This online kit will be available in January 2026. If you need assistance, you may contact us at sales@aota.org.

Exhibitors may have food or alcoholic beverages in their booth. However, all alcohol orders must be made through the official Food & Beverage vendor, Aramark. Order forms and contact information are provided in the Exhibitor Services Kit.

The exhibitor “no-show” policy is as follows: if booth space is not occupied by 10:00 am on Thursday, April 23rd, in accordance with show policy, AOTA shall have the right to use the space. Reletting by AOTA of an Exhibitor’s cancelled space shall not act to excuse Exhibitors from assessment.

Pre-show and post-show mailing lists will be made available to confirmed exhibitors only. Please contact sales@InfocusMarketing.com to order your lists at a heavily discounted rate. Pre-show lists will be made available monthly beginning in January and will only contain mailing addresses. We are not authorized to release email addresses.

Note: Beware of exhibitor scams: AOTA exhibitors are frequently targeted by companies unaffiliated with AOTA, offering attendee lists from the ”AOTA Show 2026“ and/or variations on the AOTA name or logo. Please be aware that these companies have nothing to do with AOTA or INSPIRE. The attendee mailing lists for the show are only available directly from AOTA, and all confirmed exhibitors have access to those lists.

Exhibitor housing is open to all confirmed exhibitors. Confirmed exhibitors will receive an email from ConferenceDirect, AOTA’s Housing company, with instructions and a link to book your hotel rooms.

Each exhibiting company is given one free Full Conference Registration for every 100 square feet of booth space. Your Exhibitor Badge alone will not allow you entrance into the Education Sessions during the conference. Exhibitor personnel who do not get the free Conference registrations and wish to attend Education Sessions may register during Exhibitor registration. Registration for education sessions is open to all confirmed exhibitors.

More information will be released in late October 2025 about how to get your free registration and Exhibit Hall passes.

No, no one under 18 may attend AOTA INSPIRE.

Exhibitors can earn up to three (3) priority points per year by (1) exhibiting, or (2) participating as a sponsor.  Please include the following: 

  • Date of receipt of application & payment
  • Size of booth space
  • Financial and credit standing of applicant where available 

Exhibitor-Sponsored Seminars are only available to exhibitors. Each one is a 45-minute session on the Expo floor, held in an open, theater-style setting. Contact sales@aota.org to reserve your session.
