Exhibitor FAQs

To reserve a booth, click here. Then, log into your Company Account. New exhibitors should create an account through the Exhibitor Login page.

  • Enter your Company Password.
  • Click Select Booth to open the floorplan.
  • Choose an available booth (shown in blue).
  • Click Submit.
  • Enter your payment information (credit card, ACH, or check).
  • Review the Terms and Conditions and check the acknowledgment box.
  • Click Submit to complete your reservation.

AOTA Show Management reserves the right to alter locations of booths and tables as shown on the official floor plan.

BOOTH TYPE RATE PER 10’ X 10’

  • Standard Booth – $3,020
  • Corner Booth – $3,170
  • Premium Booth – $3,320
  • Small Business Booth* – $1,830

 

Standard, Corner, and Premium Exhibit Booths include:

  • 8’ High Back Wall Drape
  • 3’ High Side Rail
  • Booth ID Sign

 

Small Business Booths* includes:

  • 10’ x 10’ Exhibit Space
  • 6’ Draped Table
  • (2) Chairs
  • Carpeting
  • Booth ID Sign
  • Wastebasket

 

*To qualify for the Small Business Booth rate, supply proof from either the IRS or the taxing body from the state in which your company is registered or licensed along with this contract.

 

Note: Booth space is not carpeted; floor is concrete. Floor covering is required by Show Management and may be ordered through AOTA’s Exposition Decorator.

In the event the Exhibitor cancels all or part of the exhibit space contracted herein, the Exhibitor must do so in writing to sales@aota.org, and will be obligated to pay to AOTA liquidated damages based on the following schedule:

 

Prior to or on June 30, 2026                                      0% liability        

July 1 through November 30, 2026                     50% liability 

On or after December 1, 2026                           100% liability

All services and benefits included with the exhibit space shall be forfeited with the cancellation of space. Reduction of space will result in an equal reduction of the services and benefits included.

Each exhibit space is singularly contracted to one exhibiting company and may not be reassigned, sublet, shared, or otherwise transferred without prior written approval from AOTA.

You must have at least 400 square feet of space in an island or peninsula configuration to have a hanging sign.

Hanging signs are permitted to be hung at 20 feet, from the floor to the top of the sign. You must complete the Hanging Sign Request Form and submit that along with a layout and specs on the sign by February 8, 2027. This form will be available in the online Exhibitor Services Kit in December 2026

Please contact AOTA for permission to bring a vehicle to the show floor by January 16, 2027. The Display Vehicle Reporting Form will be available in the online Exhibitor Services Kit. Vehicle move-in and move-out will be coordinated by the show’s official service contractor, T3.

Work rules vary from one city to another. In Boston, exhibitors may unload their own personal vehicles provided they do not use any material handling equipment (forklifts, flatbeds, dollies, pallet jacks, etc.) through the main entrance doors to the Exhibit Hall.  T3 will control access to the loading docks to provide a safe and orderly move in and move out.

 

As an exhibitor, you may choose to utilize your own personnel to set up and dismantle your exhibit. If full-time company personnel are utilized to set up an exhibit, they should carry positive company identification or payroll stub.

The Exhibitor Services Kit has all the necessary forms for planning your exhibit. This online kit will be available in December 2026.

Exhibitors may have food or alcoholic beverages in their booth. However, all alcohol orders must be made through the official Food & Beverage vendor. Order forms and contact information are provided in the Exhibitor Services Kit in December 2026.

The exhibitor “no-show” policy is as follows: if booth space is not occupied by 10:00 am on Thursday, April 8th, in accordance with show policy, AOTA shall have the right to use the space. Reletting by AOTA of an Exhibitor’s cancelled space shall not act to excuse Exhibitors from assessment.

Pre- and Post-Attendee Mailing lists will be made available to confirmed exhibitors only. Please contact sales@aota.org to order your lists.

  • Pre-Attendee Mailing lists will be made available 1 month prior to INSPIRE 2027.  
  • Post-Attendee Mailing lists will be made available 1 week after INSPIRE 2027

* Lists will only contain mailing addresses. We are not authorized to release email addresses.

 

Note: Beware of exhibitor scams: AOTA exhibitors are frequently targeted by companies unaffiliated with AOTA, offering attendee lists from the AOTA Show 2027and/or variations on the AOTA name or logo. Please be aware that these companies have nothing to do with AOTA or INSPIRE. The attendee mailing lists for the show are only available directly from AOTA, and all confirmed exhibitors have access to those lists.

Exhibitor housing will be opening in September 2026.  Housing is available for all confirmed exhibitors. Confirmed exhibitors will receive an email from ConferenceDirect, AOTA’s Housing company, with instructions and a link to book your hotel rooms.

Each exhibiting company is given one free Full Conference Registration for every 100 square feet of booth space. Your Exhibitor Hall Badge alone will not allow you entrance into the Education Sessions during the conference. Exhibitor personnel who do not get the free Conference registrations and wish to attend Education Sessions may register during Exhibitor registration. Registration for education sessions is open to all confirmed exhibitors.

Conference Registration will be opening in September 2026.  More information will be released, in September 2026, on how to register for your complimentary Conference Attendee and Exhibit Hall Registrations.

No, no one under 18 may attend AOTA INSPIRE.

Exhibitor-Sponsored Seminars are only available to exhibitors. Each Seminar is a 45-minute session on the Expo floor, held in an open, theater-style setting. Contact sales@aota.org to reserve your session.
